What you should know before bookingâ€¦
Once you have decided in which of our programmes you want to take part, we strongly recommend that you read the itinerary of the trip and its full description. We also recommend that you read all the information provided about Portugal and the general terms of our trips.
It is important that you choose a programme that is adequate to your experience and abilities.
Please check what the difficulty levels mean. Our team at 09ÂºWest is available to talk to you about each one of our programmes to help you make the best decision for your trip.
You should then check the availability of places for the trip you would like to make. You can check this information online or you can contact us via phone or email.
Usually, we can secure you a place for three days before you make your final decision.
Status of the Trip
For each one of our programmes, there is a minimum number of participants.
For each trip, you will find under Â«detailsÂ» the information regarding the size of the group, which indicates the minimum and maximum number of participants. As soon as the minimum number of participants is reached, the status of the trip will change from Â«PlacesÂ» to Â«LimitedÂ» (check Â«calendar & availabilityÂ»).
Once the trip is guaranteed, you should proceed with your own arrangements, including international flights to Portugal.

Payment of the Deposit
Along with your reservation, you will have to pay a deposit per person of 30% of the total cost of your journey. Please check the specific page of your trip to find out about any additional payment.
We request that you have travel insurance. This will protect you in case of a health related problem or a forced cancellation of the trip.
You can pay by bank transfer using the IBAN and SWIFT indicated on our website.
Confirming your reservation
Once we have received your reservation form, we will contact you.
If you make your reservation by phone, please be aware that we must receive your enrolment form duly completed and signed, within 24h by email, or within 3 days by post mail. We cannot make a reservation in your name if we do not receive your enrolment form, as well as the confirmation that you have read and agree with our general conditions.
Once the reservation is complete, we will send you a confirmation of your booking along with the receipt of your trip. You must make full payment eight weeks before the date scheduled for departure
Before buying your plane ticket
Before buying your plane ticket, you should check that the trip you have selected is already confirmed. You can check on our website or contact us directly. We cannot be held responsible for any expenses regarding a plane ticket you have bought, in case your trip is cancelled due to insufficient number of participants.
If you wish to alter some of the information you have provided in your enrolment form, such as passport number or contact details, it is important that you let us know immediately. Other alterations in your personal data can be made through your 09ÂºWest account.
If you wish to add an extension to your reservation, we will take all necessary measures and send you a receipt of your revised account. Payment should be made at least eight weeks before the date scheduled for departure.
If you decide to transfer your reservation to a different date, you will be charged an administrative fee of â‚¬125 and any other additional costs necessary.
However, you should note that we cannot transfer your reservation to a different date if your request is made within less than eight weeks before the date scheduled for departure. Please check our general conditions and relevant information about changing your reservation.
Have a safe trip!
You should guarantee that your payment is made eight weeks before the date scheduled for departure (payment date will be displayed in your 09ÂºWest account).
If we do not receive payment until due date indicated in the receipt, we reserve the right to cancel your booking and cancellation expenses will be applied. You should also guarantee that you give us all the details of your travel insurance and any other documents that may be necessary.
Within two weeks of the date scheduled for departure, we will send you all the documents you need. These documents include instructions on how to find your group, namely a contact number of your Guide and also the agency. You will also get a summary of all the additional services requested and a list of recommendations with all the material you are advised to bring to make sure you have all you need for your journey.
